What automation actually costs a small business
The question I hear most from business owners is: “How much will this cost?” Nobody likes “it depends” as an answer, so here is what the price is made of and how to tell whether it is worth starting at all.
Start with one painful task
Automation does not have to be a big project on day one. The best place to start is a single task that eats time every day for you or your team:
- answering the same customer questions in messengers;
- copying leads from Telegram or your website into a spreadsheet by hand;
- weekly reports that someone assembles manually;
- reminding customers about appointments or payments.
A simple AI bot or a small automation handles tasks like these. This is the entry level: my simple projects start at $100.
What drives the cost
How many systems need to talk to each other. A bot that answers questions is simpler than one that checks free slots in a calendar, adds the customer to a CRM and notifies a manager.
How complex the logic is. A linear flow is quick. Branches, exceptions and manual approvals take more time to design and test.
The state of your data. When product, price and service information already lives in one place, an AI assistant can learn it quickly. If it first has to be collected and cleaned up, that is a separate stage.
Interface requirements. Automation that runs behind the scenes costs less than a system with user accounts, an admin panel and roles for different staff.
How to tell if it pays off
A simple formula: hours per week the task takes, multiplied by the hourly cost of the person doing it. Add the leads you lose: a customer who did not get a reply in time is often gone for good.
If an automation takes routine off several people or saves even part of your leads, it usually pays for itself faster than it seems at the start.
